Send the model schedule
Share the supplier quote, model numbers, quantities and current spec sheets. Note any alternates, owner-supplied items or equipment still being selected.
Confirm the room and clearances
Place each item on the current plan. Check operating, cleaning and service clearances, adjacent surfaces, hood coverage and the path used to move equipment into position.
Map every connection
Record the electrical, gas, water, drainage, exhaust and make-up-air requirements for each item. Flag what the supplier provides and what must be verified by the project team.
Plan delivery and installation
Confirm dimensions, weights, access restrictions, delivery dates, receiving hours, storage, rigging and who sets, connects, starts up and tests each item.
Write the responsibility split
Name the party responsible for supply, site readiness, installation, regulated trade work, startup, training, warranty registration and final documentation before the work is released.

Use current documents and mark superseded versions. A model change can affect dimensions, connections, ventilation and the work already priced.
Assign the work by name.
The equipment supplier, owner, contractor and specialist trades may each hold part of the scope. Before ordering or releasing site work, confirm who is responsible for receiving, storage, setting in place, utility connections, exhaust and fire-protection interfaces, startup, testing, training, warranty registration and closeout documents.
